Privacy Policy

1. Who We Are and What This Policy Covers

This Privacy Policy explains how TNT Turf LLC (“TNT Turf”, “we”, “us”, “our”) handles personal information. It covers tntturf.com and every page on it, our quote and contact forms, and the phone calls, text messages and emails that follow from them.

We are an artificial turf installation company based in Houston, Texas, serving homeowners and businesses across the Greater Houston area. Our office is at 2302 Campbell Rd, Houston, TX 77080.

This policy does not cover the separate written agreement you sign for an installation, and it does not cover websites we link to but do not run. Your use of this site is also governed by our Terms and Conditions.

2. Information You Give Us

Nearly everything we hold about you is something you typed into a form or told us on the phone. Our quote form at tntturf.com/contact asks for the following:

• Your name. First and last name.
• Contact details. Phone number and email address.
• Property location. Street address, city, state and ZIP code. We ask because a turf quote depends on where the property is, what the drainage is like and how far our crews travel.
• Property type. Whether the job is residential or commercial.
• Services you are interested in. The turf services you check on the form.
• Budget range. The range you select, if you choose to select one.
• Project details. Whatever you write in the free-text box. Please do not put sensitive information in that box — see the note below.
• How you prefer to be contacted. Phone call, text message or email.

We also keep what you tell us afterwards: measurements and site notes from an on-site estimate, access instructions, gate codes if you give them to us, notes about pets or irrigation, your scheduling preferences, records of the work performed, invoices and payment records, warranty claims, and any review or photo you send us.

3. Information Collected Automatically

Like nearly every website, ours records some technical information when you visit. This happens through our hosting provider’s server logs, through the embedded Google Map described in section 4, and, in future, through the analytics tools described in sections 4 and 5.

• Your IP address, and the general region it suggests you are in.
• Your browser type and version, your operating system, and your device type and screen size.
• The pages you view, the order you view them in and how long you stay.
• The site or search that sent you to us, and any campaign tags in the link you followed.
• The date and time of your visit, and error messages if something on the site breaks.

When you submit the quote form, our forms provider also records the IP address the submission came from and runs the message through a spam filter. Without that, the form fills up with bot traffic within days.

4. Cookies, Pixels and Similar Technologies

A cookie is a small text file a website stores in your browser. Related technologies do similar jobs: pixels (a tiny invisible image that reports back when it loads), local storage, and software development kits inside third-party scripts. This section covers all of them.

What this site uses today

As of the date at the top of this page, this website does not run Google Analytics, the Meta (Facebook) pixel, Google Ads conversion tracking, or any other advertising or analytics tracker.

What this site does use today, besides the strictly necessary technologies our host and our form provider need to serve pages and stop spam, is one embedded Google Map. Most pages on this site show a map of the Greater Houston area with our location pinned on it, in the section listing the communities we serve. That map is loaded directly from Google. When it loads, your browser contacts Google and Google receives your IP address, the page you are on and your browser and device details, and it may set its own cookies in your browser — the same as if you had opened Google Maps yourself. We do not receive any of that information, and the map does not tell us who you are or that you looked at it. Google handles what it collects under its own privacy policy, linked in section 5.

What we expect to add

We intend to add website analytics and advertising measurement, and we may work with marketing partners who ask us to place their tags on the site. When that happens, the categories below are what you should expect. We are describing them now so that this page is accurate on the day those tools go live rather than months afterwards.

Controlling cookies in your browser

Every major browser lets you block or delete cookies from its settings or privacy menu. Blocking all cookies may stop parts of this site working properly. Blocking third-party cookies specifically will stop most advertising and retargeting tracking with little effect on the site itself.

5. Advertising and Analytics Partners

One company already receives information about your visit directly from your browser: Google, because of the embedded map described in section 4. That is the only one today. When we turn on the analytics and advertising tools described above, the companies that provide them will receive information the same way, and all of them handle it under their own privacy policies as well as ours. The partners we use or expect to use are:

• Google — Google Maps, which draws the service-area map embedded on this site and is in use today; and, in future, Google Analytics for site measurement and Google Ads for advertising and conversion tracking. Google’s privacy policy is at policies.google.com/privacy. You can opt out of Google Analytics on any site with the browser add-on at tools.google.com/dlpage/gaoptout, and control ad personalization at myadcenter.google.com.
• Meta Platforms — the Meta pixel, for measuring and targeting ads on Facebook and Instagram. Meta’s privacy policy is at facebook.com/privacy/policy, and your ad preferences are at facebook.com/adpreferences.

You can also opt out of interest-based advertising from many companies at once through the industry tools at optout.aboutads.info and optout.networkadvertising.org. These opt-outs are stored per browser and per device, so they need to be set again if you clear your cookies or switch device.

6. How We Use Your Information

We use the information described above for these purposes and no others:

• To prepare and send you a quote, and to schedule and carry out a site visit.
• To perform the installation or service you hire us for, including ordering the right turf and infill.
• To contact you about your project, by the method you told us you prefer.
• To invoice you, take payment and keep the accounting and tax records the law requires.
• To handle warranty claims, callbacks and service requests after the job is finished.
• To answer questions, resolve complaints and keep a record of what was agreed.
• To send you occasional marketing about our services, where you have asked for it or where the law allows it. Every marketing email has an unsubscribe link, and it works.
• To understand which pages and services people are interested in, so we can improve the site.
• To measure whether our advertising works, once advertising measurement is in place.
• To protect the site and our business against fraud, spam and abuse.
• To comply with the law, respond to lawful requests, and establish or defend legal claims.

We do not use your information to make automated decisions that produce legal or similarly significant effects about you. Quotes are prepared by people.

7. When We Share Your Information

We do not sell your personal data, and we do not share it with anyone who wants to market their own products to you. We do share it with the following categories of recipients, only as far as each of them needs it to do their job for us:

• Website hosting and form processing. This site is hosted on Netlify, and quote form submissions are received and stored through Netlify Forms before they reach our inbox.
• Email, phone and scheduling providers. The services we use to receive your message, call or text you back, and book your appointment.
• Installation crews and subcontractors. The people doing the work need your address, your phone number and the site notes. They receive nothing beyond that.
• Suppliers and manufacturers. Where a warranty claim or a special order requires it, we pass on the details needed to process it.
• Payment processors, banks and our accountant. For taking payment and keeping the books. We do not store full card numbers ourselves.
• Google, for the embedded map. Your browser contacts Google directly to draw it, as described in sections 4 and 5. We do not send Google anything ourselves.
• Advertising and analytics partners. As described in sections 4 and 5, once those tools are running.
• Professional advisers, insurers and law enforcement. Where we are legally required to disclose information, where we need advice, or where we need to establish or defend a legal claim.
• A buyer of the business. If the business is sold, merged or reorganized, customer records would transfer as part of it. The buyer would be bound by this policy until it tells you otherwise.

Everyone in the first six categories is engaged as a service provider and is required to use your information only for the work we ask them to do.

8. Phone Calls, Text Messages and Email

When you submit our form you choose whether you would like a phone call, a text message or an email. We use the method you choose.

Text messages

If you give us your mobile number and ask to be contacted by text, you agree that we and the people working on our behalf may text you about your quote, your appointment and your project. Message frequency varies. Message and data rates may apply. Reply STOP to any message to stop receiving texts from us, or HELP for help. You can also just tell us on the phone.

Phone calls

By giving us your phone number and asking to be contacted, you consent to receive calls and texts from us at that number about your inquiry, including where an automatic telephone dialling system or a prerecorded message is used. This consent applies even if your number is on the federal Do Not Call Registry or the Texas No Call List, because you asked us to contact you. Tell us to stop and we will stop.

Email

We email you about your quote and your project because you asked us to. Marketing emails, if we send them, always carry an unsubscribe link, and unsubscribing takes effect promptly. We will still email you about work in progress, invoices and warranty matters, because those are part of the job rather than marketing.

9. Photographs of Your Property

We photograph our work. Crews take before, during and after photos of nearly every job, for three reasons: to record the site conditions we found, to document the finished installation in case of a warranty claim, and to show prospective customers what we do.

Photos of completed projects may appear on this website, in our portfolio, on our social media and in advertising. When we publish them we do not include your name, your street address or anything else that identifies you or pinpoints the property. Photos are framed on the turf and the landscaping rather than on people, and we do not publish photos of the inside of your home.

If you would rather we did not publish photos of your property at all, tell us before or during the job and we will note it on your file. If a photo of your property is already published and you want it taken down, email info@tntturf.com and we will remove it from anything we control.

10. Your Texas Privacy Rights

The Texas Data Privacy and Security Act gives Texas residents specific rights over their personal data. We honor these rights for every Texas resident who asks, whether or not the statute strictly requires it of a business our size.

• The right to know. To confirm whether we are processing your personal data, and to access it.
• The right to correct. To have inaccurate personal data about you fixed.
• The right to delete. To have personal data about you deleted, including data you did not give us directly.
• The right to a copy. To obtain a copy of the personal data you gave us, in a portable and readily usable format, where we hold it digitally.
• The right to opt out of targeted advertising. To tell us not to use your data to target advertising at you.
• The right to opt out of the sale of personal data. We do not sell personal data, but the right stands and we will honor a request.
• The right to opt out of profiling. To object to profiling used to make decisions that produce legal or similarly significant effects about you. We do not do this.
• The right not to be retaliated against. We will not deny you service, charge you a different price or give you a lesser standard of work because you exercised a privacy right.

Some data has to stay with us whatever you ask. We keep enough to meet our tax, accounting, warranty, insurance and legal obligations, and to defend a legal claim. Where that applies we will tell you which data we have kept and why.

11. How to Submit a Request or an Appeal

Making a request

Email info@tntturf.com with the words “Privacy Request” in the subject line, call us at (713) 280–3607, or write to us at 2302 Campbell Rd, Houston, TX 77080. Tell us what you want us to do and give us enough detail to find your record — usually the name, phone number and property address you gave us when you asked for a quote.

We will respond within 45 days. If the request is complicated we may take one further 45 days, and we will tell you within the first 45 if we need to. There is no charge for two requests in any twelve-month period. Beyond that, or where a request is manifestly unfounded or excessive, we may charge a reasonable fee or decline, and we will explain why.

If we cannot verify who you are from the information you give us, we may have to refuse the request. We will ask for what we need rather than simply refusing. An authorized agent may act for you if you give them written permission, and we may contact you to confirm it.

Appealing a decision

If we refuse your request, we will tell you why and explain how to appeal. To appeal, reply to our decision or email info@tntturf.com with “Privacy Appeal” in the subject line. We will review it and give you a written answer within 60 days, explaining our reasoning.

12. Universal Opt-Out Signals and Do Not Track

Some browsers and browser extensions can send a Global Privacy Control signal, which tells every site you visit that you are opting out of the sale of your data and of targeted advertising. Texas law requires businesses to recognize these universal opt-out signals.

We will treat a Global Privacy Control signal from your browser as a valid opt-out request for that browser, without you having to contact us. Because the signal is stored in the browser rather than attached to you personally, it does not carry across to your other devices, and clearing your browser data may clear it.

There is still no agreed standard for the older “Do Not Track” browser setting, and we do not respond to it. Use Global Privacy Control, or email us, and we will act on it.

13. Residents of Other States

We are a Houston company and nearly everyone we work with lives in Texas. If you live in California, Colorado, Virginia, Connecticut, Utah or another state with a comprehensive privacy law, your state may give you similar rights to those in section 10, and it may give you additional ones — for example, the right to know the specific categories of information we disclosed about you in the past twelve months, or the right to limit the use of sensitive personal information.

Rather than sorting requests by state, we apply the process in section 11 to everyone who asks. Email info@tntturf.com, tell us which state you live in and what you would like us to do, and we will handle it under whichever law gives you the stronger right.

We do not knowingly sell the personal information of any consumer, including consumers under 16 years of age.

14. How Long We Keep Your Information

We keep information for as long as we have a reason to, and no longer:

• Quote requests that do not become jobs. Around two years, because turf projects are often planned well in advance and people come back.
• Customer and project records. For the life of the warranty and for as long as we may need them to answer a claim about the work.
• Invoices, payments and accounting records. For the period required by federal and Texas tax law.
• Marketing contact details. Until you unsubscribe or ask us to delete them.
• Website and analytics records. For the retention period set in the tool concerned, which is typically a matter of months.

When a retention period ends we delete the information or remove the details that identify you. Paper records containing personal information are shredded rather than thrown in the trash, as Texas law requires.

15. How We Protect Your Information

We use reasonable administrative, technical and physical safeguards to protect personal information from unauthorized access, use or disclosure. This site is served over an encrypted connection, form submissions are transmitted over that same encrypted connection, access to customer records is limited to the people who need it, and accounts are protected by strong authentication.

No website, no email system and no company can promise perfect security, and we are not going to pretend otherwise. What we can promise is that if a breach affects your sensitive personal information, we will notify you as Texas law requires — without unreasonable delay and no later than 60 days after we determine a breach occurred, and we will notify the Texas Attorney General as well where the number of affected Texans requires it.

16. Children’s Privacy

This site is meant for adults hiring a contractor. It is not directed to children, and we do not knowingly collect personal information from anyone under 18. We never ask a child for information, and we have no reason to.

If you believe a child has given us personal information, email info@tntturf.com and we will delete it.

17. Links to Other Websites

This site links to other websites — turf manufacturers, our social media profiles, review sites, the regulators named above and mapping services. Following one of those links takes you to a site we do not control and which has its own privacy policy.

We are not responsible for how those sites handle your information. If a linked site matters to you, read its policy before you give it anything.

18. Changes to This Policy

We will update this policy when what we do changes — in particular when the analytics and advertising tools described in sections 4 and 5 go live, and whenever the law changes. The date at the top of this page always shows when it was last revised.

If a change materially affects how we use information we already hold about you, we will make that clear rather than quietly editing the page. Continuing to use the site after a change means you accept the updated policy.

Questions, requests, appeals and complaints all go to the same place. A real person reads them.
